How to use Google Workspace for Improved Hybrid Team Communication?

Google has been a revolutionary company from the start. From its humble beginnings as a simple search engine, they have grown to become one of the most powerful corporations in the world. 

Google Workspace is an excellent example of this growth. It’s a service that improves team communication with better security options than many other services on the market today. 

Google Drive

With Google Workspace you get Google Drive, a place where people can create and collaborate on documents. This improves teamwork as it gives everyone access to the same documents and resources. On top of that it works well with a variety of different file types, including PDFs and videos.

However, when using Google Drive, it’s important to remember that everything is stored online and can be accessed from anywhere. This means that files and information can be leaked, but password protection can be used to prevent this from happening.

Simultaneous collaboration

Another great thing about Google Workspace is that everyone with access to a file can see it’s changes immediately and there is a history of document edits, allowing them to communicate more effectively. This means there should never be any confusion regarding who has made what changes within shared documents.

Google’s apps are collaborative tools – if you want to be able to work on your documents with others, simply add them as collaborators and they will have access to all of the files within the workspace!

Manage access

You can control who has what level of permission by clicking “Settings” in the top right-hand corner which allows you to create a number of different levels for each person that you add as a collaborator. 

This means you can limit certain people to only being able to edit specific files or make them the owner of every file within the workspace!

You can create a workspace from anywhere with internet access and they work on any device, be it a computer or even your phone!  

This is good news for people who need to use them while traveling as you will always have all of the files that you need right at your fingertips.

They are also constantly being updated with new features which means they will only get more useful as time goes on!

If there is a particular file or folder that you don’t want others accessing, simply right-click on it and select “Make private”.  

This will remove it from the list of things that collaborators can see, and if you want to make changes on your own without affecting anything else within the workspace you can simply right-click again and then uncheck “Share this item”.

Collaborate with others by sharing screens and video conferencing.

There are a range of different ways to communicate and collaborate with others using Google Workspaces. An effective way you can work together on files is by sharing your screen so that everyone else can see what you’re doing as if they were sitting right next to you!

This allows for real-time collaboration which means you won’t have any problems keeping on track with what everyone else is doing.

You can also communicate by video conferencing, which allows you to see each other’s faces as you work. This is particularly useful for meetings or training sessions where teaching others how to use the workspace will be important, as it allows everyone else to see exactly what you’re doing as well as hear your instructions!

Integrated voicemail so you never miss a call again!

Google Workspaces has an integrated voicemail function which means you can receive all of your phone calls directly through the platform. You simply need to click on “Phone” in the top right corner, and then select “Add a Number”. 

From here enter your telephone number (this must be something that is registered under your own name) and clearly label the number as “Work” or “Home”. 

Once you’ve entered your number, all calls to that telephone line will be automatically directed through to Google Workspaces. This is useful because it means you never have to miss a call again! 

You can simply listen in on any meetings by opening Google Documents and sharing them with others.

Be aware of your communication style and the communication styles of others

As we transition to a hybrid work environment, it’s important to be aware of your communication style, and the communication styles of others. That’s because several visual queues that convey a lot about tone are no longer available.

Knowing how you communicate best will allow you to adapt your style of communication when working with others.

For example, some people like to talk things through and work out problems one on one while other people prefer having a conversation over the phone or in-person instead of typing it out online.

Create an environment where everyone feels safe to share their thoughts and opinions

One of the main issues that people face when working with teams is communication.

Nothing breaks down a team or causes confusion more than miscommunication, and this can often be something as simple as not knowing how to communicate effectively.

It’s important to create an environment where everyone feels safe to share their thoughts and opinions because if someone doesn’t feel comfortable enough to do this they may hold back and not reveal their ideas.

Google Workspace is a great option for teams who want to work together but don’t have the budget. It supports both cloud and hybrid working so it can be used from anywhere, on any device!

There are also loads of tools that allow everyone to collaborate effectively.
